On Line Fixtures - Important Information to be sent out to all Clubs
Clubs must be told that they must continue to complete ER1 for all events
which will be submitted via Association Fixture Secretaries to the National Fixture Secretary.
They must enter the data onto the online system first and then forward the ER1.
This will continue until we have all the Assocations on the new system and we
are comfrortable that the online system meets all the needs of fixture secretaries.
Activities forms will go straight through via the National Fixture Secretary to BOF Office
and will not be entered onto the old system.
Clubs will be able to enter them into the activitues module when it becomes live.
Events: Call them what you like, but think marketing
Fees: The full fee must be shown for all events

Email to Clubs Re Event Cancellation Procedure 4.2.2009
Due to the current state of the weather the ‘Cancelled Events’ routines have been made live as of 3 Feb. These routines are based on the business rules below that were prepared by Peter Guillaume and Pat Martin on behalf of Fixtures Group.
The routines have been checked thoroughly and should be bug free however if you have queries or comments please let me know.
Cancelled Events Rules:
The Cancel link is on the initial event page (known as the event wrapper) and is accessible to all Fixtures Secretaries.
There are 3 time frames that dictate the way in which a cancelled event is dealt with:
1. Cancel Date 1 - Event is cancelled more than 30 days prior
2. Cancel Date 2 - Event is cancelled 7 - 30 days prior
3. Cancel Date 3 - Event is cancelled with less than 7 days to go.
During the time frames the following is auctioned:
1. Cancel Date 1 - The Event is deleted from the list the CFS + AFS sees and the Fixtures List. It stays visible to the NFS but Cancelled is added to the front of the event name and it is turned Red.
2. Cancel Date 2 - In the Fixtures List 'Cancelled' is added to the front of the event name and the text is turned grey (so it looks faded). It stays visible to NFS/AFS/CFS in the back end wrapper list but Cancelled is added to the front of the event name and it is turned Red.
3. Cancel Date 3 - Same as 2 happens but a message also appears scrolling across the top of the Fixture list in red. These messages will be taken off the day after the event was due to take place.
If the event uses the BOF on line entry system then any entrants to the event will get an automated email informing them the event has been cancelled.
When an event is cancelled a ‘Cancelled event’ email is sent to cancelledevents@britishorienteering.org.uk which is forwarded on to the National Fixtures Sec and Nicole in the office.
